Tour Administration Assistant (Part-time, Seasonal)

We’re seeking a part-time Tour Administration Assistant to join us for the busy summer season from April to September. The successful delivery of tours to our high standards depends upon an effective team and you will be a critical link in the business during this peak operational season. Supporting through a range of duties, from managing rooming lists to building mobile app itineraries, you’ll ensure we continue to deliver exceptional adventure experiences.

Primary Responsibilities

As Tour Administration Assistant you will support the delivery of tours with your daily duties including:

  • effectively using existing systems and processes to manage tour departure dates and partner services, including final service confirmations and rooming lists
  • creating and maintaining accurate pre-departure guest documentation to ensure a smooth experience, including kit lists, itineraries and joining instructions via our mobile app
  • managing the timely distribution of branded items to guests and tour leaders
  • ensuring on-trip issues are resolved and logged in a timely manner
  • maintaining strong and commercially viable partner relations
  • accurately measuring the carbon footprint of each tour and actively seeking opportunities for reduction
  • attending the annual calendar of in-person team meet ups and charity events

Additional Responsibilities

We’re a small team so from time to time you may need to assist in other areas across the business. For example, but not limited to, undertaking partner site visits, networking with industry peers, attending trade shows, assisting with the leading of tours.

Internal Communications

As part of a small team in a young business, you’re integral to our collective success. This remote-working position requires self-motivation, natural organisation skills, acute commercial awareness and a hunger to learn!

Effective communication is especially important when we’re working remotely. As such we expect the following commitment to internal communications:

  • attend daily stand up meeting with team via video call
  • attend the weekly full team meeting (usually via video call)
  • attend at least one day per month with the team in North Wales (or alternative location tbc)
  • utilise collaborative tools to share and store company information, including but not limited to Google Workspace and Hubspot

As our part-time Tour Administration Assistant you will have at least 1 years’ relevant experience. You’ll be joining a small team, making you integral to our success. You will be self-motivated, innovative, commercially minded and hungry for a challenge!

Your key role is to support the smooth delivery of tours, ensuring every guest enjoys the adventure of their lifetime. Exceptional guest experience will be your driving force, you’ll be a dynamic problem solver and your attention to detail will be second to none.

We believe maintaining a work life balance and reducing our impact on the environment are important, so this will be a remote-working role. We are a tight-knit team so daily video calls will keep us all working in harmony and we’ll meet in person at least once a month, more frequently at first while you get up to speed with the business.

  • part time: 20 hours per week
  • 6-month fixed term: April – September
  • £24,000 per annum (pro rata)
  • remote working
  • semi-flexible hours Monday – Friday
  • 20 days annual leave, plus public holidays (pro rata)
